PART  1   Creating the new folders

1. Start your "Outlook Express".

 

2. Right click on the root folder "Local Folder". A menu will pop-up. In the pop-up menu choose "New Folder...".

 

3. Another small-ish window will pop-up, with an empty text box. In the text box type the name you prefer for your folder (for example: "HEPC List")  and press "OK" (the new folder will be created as a sub-folder of "Local Folders").

 

4. Right click on the folder "HEPC List" and in the pop-up menu choose "New Folder...".

 
 

5. In the new pop-up type the name you prefer (for example:  "HEPC Traffic") and press "OK" (the new folder will be created as a sub-folder of "HEPC List"

 
 

6. Right click again on the folder "HEPC List" and in the pop-up menu choose once more   "New Folder...".

 
  

7. In the new pop-up type the name you prefer (for example: "INFO Posts") and press "OK" (the new folder will be created as a sub-folder of "HEPC List"

You may want to create a third folder, containing your private exchanges with the list-members. Just follow the above instructions (last 2 paragraphs - 6 and 7) but name the sub-folder "Personal", or anything you like.

You can go even further, creating in the "Personal" folder sub-folders for every person that you correspond with.

 

PART  2   -  Setting up the filters

a) The filter for "HEPC  Traffic"

 

1. In the Menu click on "Tools", then click on "Message Rules", and finally click on "Mail..."

 
 
 

2. A window called "New Mail Rule" will  pop-up

 

3. In the "1. Select the Conditions for your rule" section tick the "Where the To line contains people" checkbox

4. In the "2. Select the Actions for your rule" section tick the "Move it to specified folder" checkbox

 

  

5. In the "4. Name of the rule:" type "HEPC Traffic"

6. In the "3. Rule Description" click on the "contains people" link. A small window called "Select People" will pop-up.

 

7. In the "Select People" window, in the empty text box type the HEPC List e-mail address, then click the "Add" button and finally the "OK" button


8. In the "3. Rule Description" click on the "specified" link. A small window called "Move" will pop-up.

.

 

9. In the "Move" window click over the "HEPC Traffic" folder, making sure that it turns to highlited, then click the "OK" button

 

 

10. In the "New Mail Rule" window press the "OK" button

 

 

b) The filter for INFO

 

1. Another window, called "Message Rules" will pop-up

In this window click the button "New" (top-right)

A window called "New Mail Rule" will pop-up

 

 

3. In the "1. Select the Conditions for your rule" section tick the "Where the Subject line contains specific words" and the "Where the To line contains people" checkboxes

4. In the "2. Select the Actions for your rule" section tick the "Move it to specified folder" checkbox

  

5. In the "4. Name of the rule:" section type "INFO Posts"

6. In the "3. Rule Description" section click on the "contains specific words" link. A small window called "Type Specific Words" will pop-up.

 

 

7. In the "Type Specific Words" window type "INFO", then click the "Add" button and finally the "OK" button

 

 

8. In the "3. Rule Description" section click on the "contains people" link. A small window called "Select People" will pop-up. In the empty text box type the HEPC List e-mail address, then click on the "Add" button, and finally on the "OK" button

 

 

9. In the "3. Rule Description" click on the "specified" link. A small window called "Move" will pop-up.

 In this window click over the "INFO Posts" folder, making sure that it turns to highlited, then click the "OK" button

10. In the "New Mail Rules" click the "OK" button

11. In the "Message Rules" click the "OK" button

You are now set to have all the mails coming from HEPC List transferred automatically, depending on their content,  in the folders "HEPC Traffic" and "INFO Posts".

If you subscribe to other mailing lists you can set up folders and filters for them too; or you can set up folders and filters for the persons you are exchanging correspondence with on regular basis.
